NTT DATA Services currently seeks a Administrative Specialist to join our team in Arlington, Virginia (US-VA), United States (US).  MUST HAVE AN ACTIVE SECRET CLEARANCE TO BE CONSIDERED. 



The Administrative Specialist will be responsible for administratively supporting executives and staff in a multi-faceted, fast-paced IT office within a law enforcement IT environment. The individual must possess solid organizational, record keeping, analytical, and communications (i.e., writing and verbal) skills and must be detailed oriented with high-level of accuracy. The candidate must possess strong relationship and customer service skills to conduct friendly communications and interfaces with varying customers including high-level executives, vendors, and staff.  The candidate must also be able to work independently or under supervision depending upon the task. At a minimum, the individual must be experienced in using Microsoft Office products/tools (i.e., Word, Excel, PowerPoint, SharePoint, and Outlook).  The  Administrative Specialist will:
•Support all aspects of meeting preparations (e.g., printing/copying meeting materials, supporting/reviewing agenda, presentations).
•Attend meetings, capture, document and distribute meeting minutes and meeting commitments and action items.
•Create, maintain, update, track and close out office executive action items.
•Schedule conference rooms and conference bridges and meetings.
•Organize office mail room and appointments and assist with maintaining and monitoring of the executive calendars, as needed.
•Handle the receipt and processing of office paperwork and records.
•Read and track incoming correspondence, guidelines, and directives that may affect the organization.
•Update and/or consolidate the weekly activity reports (WAR).
•Produce/update/edit/format program support material using various office software programs including, but not limited to, spreadsheets, databases, word processing, and graphic presentation software to meet specific requirements.
•Track/consolidate required annual training certification requirements of office personnel and contractors.
•Assist in the research of training for government staff.
•Assist in the identification and distribution of equipment needed for both SIS government and contractor staff
•Support property inventory activities.
•Support office inspection activities (e.g.., locked cabinets, government forms collection, accomplishments reviews)
•Assist with content management of office and unit SharePoint sites. Create/update, monitor, and track the content (e.g., Kanban board, field attributes, documents, schedules, prioritization lists, and other materials and documents) of SharePoint sites or the other internal web sites, as directed, to ensure that information is kept up to date. Grant/remove/modify SharePoint permissions.
•Update contractor timekeeping report with new contracts and archive as needed.
•Prepare administrative reports and compose correspondence based on the government’s direction.
•Coordinate/support the acquisition of office equipment/supplies following the standard procedures for procuring, authorizing, and controlling purchases.
•As needed, support the Agile Sprint Prioritization Committee by documenting/updating decisions made during the scorecard prioritization meeting.
•Other administrative services as needed.

Required Qualifications:

-  1+ yrs using MS products (i.e., Word, Excel, SharePoint, PowerPoint, Outlook)
-  1+ yrs in administrative support

-  4-6 years of relevant experience

-  Undergraduate degree or equivalent combination of education and work experience.

-  DOD Secret Clearance or higher
