NTT DATA Services currently seeks a Executive Administrative Assistant with Secret Clearance to join our team in Arlington, Virginia (US-VA), United States (US).

 

 

Acts as liaison between various offices and units to communicate requests, obtains and provides information, and performs follow-up; Professionally interacts with all levels of management and staffs; Uses appropriate software (e.g., MS. Word, Excel, PowerPoint, Outlook, e-Forms, and Visio) to produce/update/ edit/format organization materials. Identifies the appropriate office software programs to meet specific requirements; Takes immediate action, as identified by the government, on tasks and assignments. Obtains clarification of instructions and brings significant items to the executive’s attention; Schedules meetings and conferences via Outlook. Performs or arranges conference room setup, obtains attendees list, and supports other activities as needed. Coordinates scheduling of audio/visual equipment and Polycom phones. Supports audio/visual techs while they test equipment in preparation for meetings. May be required to coordinate transportation to and from the meeting sites; Reviews and responds to all conference room meeting requests in Outlook from several internal IT office management and personnel. Assists with scheduling if required; Updates, maintains and monitors the office SharePoint site content, including links (e.g., current and upcoming events, welcome and farewell notices, quarterly newsletter, Organization Charts, Kanban task lists), and other internal web sites, as directed, to ensure that information and links are kept up to date; Completes Travel vouchers/ authorizations and other travel-related forms for executive management; Performs an organized filing function of all documentation, memorandums, and other pertinent information; Distributes organizations mail and correspondence to mailboxes and in-person if necessary; Monitors executive calendars and provides reminders to executive, if requested.
Prepares administrative emails, reports, and other correspondence based on the government’s direction; Scans and uploads various organizational documents; Compiles and consolidates PowerPoint presentation decks from several presenters and performs reviews and editing if necessary; Updates various tracking spreadsheets in Excel (e.g., HR Tracking); Prepares meeting agendas, and may be asked to attend meetings, and take meeting notes including action items. Support may require local travel to attend meetings/conferences.
Develops flyers in Photoshop (e.g., for employee departures, government holiday parties); Prepares requests forms for the acquisition of equipment, supplies, and services. Performs follow-up and monitors requests until receipt; Researches and compiles information as requested; Tracks professional IT training of government and contractor staff; Compares onboarding staff report to organization chart to determine vacancies; Supports equipment inventories; Prepares monthly status reports; Performs other related duties and provide backup support, as assigned.
Requirements
Must be a U.S. Citizen.
Active DOD Secret or above Security Clearance.
All candidates must have an AA degree or higher or equivalent combination of education and work experience with at least 2 years of relevant experience to substitute 1 year of education.
Must complete & sign a detailed Drug Use Statement and be able to pass the DEA Security Clearance.
Requires 3-5 years experience providing executive administrative support.
Exhibits high-level proficiency in verbal and written communications skills.
Proficient relationship and customer service skills.
1-2 years experience creating, updating and maintaining SharePoint content.
